Deposits, fees & refunds
Collect a deposit and fees on the lease, then refund (or withhold) at move-out.
Set the deposit & fees on the lease
- 1In the New Lease wizard, click “Add a security deposit” and enter the amount.
- 2Use “Add a fee” for pet rent, parking, etc. — choose Monthly (billed every cycle) or One-time (charged at move-in).
- 3On finish, the deposit and any one-time fees become their own charges; the tenant pays them the same way as rent (bank or card), and you both get a receipt.
Deposits and fees are kept as separate charges from rent, so your records and Reports clearly show what each payment was for. You can also still use Payments → Add Charge for an ad-hoc one-off.
Refunding the deposit at move-out
- 1On the Leases page, open the lease's menu and choose Refund Deposit.
- 2Enter the amount to refund and, if any, the amount to withhold (with a reason — e.g. carpet cleaning).
- 3We record both on the ledger, email the tenant a refund notice, and (when connected) reverse the deposit charge back to them.
The refund plus any withheld amount can't exceed the deposit you actually collected.
